Have you ever heard of an autograph in Gmail? Do you want a Gmail signature? When you send an email to a person or organization, the signature associated with Gmail appears at the bottom of the email. This way the recipient can see who sent the e-mail for him or her. Adding a signature to your mail is therefore of great value in Gmail services.
Once you have added a signature to your email, it will not change until you edit it. Therefore, the role of the signature must change periodically, depending on your work. In this guide, we look at how we can put a signature in Gmail that easily meets our needs. Follow the step-by-step instructions for a more detailed explanation.
What is a signature in Gmail?
A Gmail signature is a group of text or a combination of text and special characters and numbers added at the end of Gmail messages. Including name, phone number, address, position, roll, etc. You can add anything that people can use to get to know you.
Why is it necessary to use a signature in Gmail?
In this technological world, most people use Gmail services for personal, business and educational purposes. Without Gmail, people working in an organization, company or government cannot do their job properly. So right now we have millions of Gmail users with billions of email addresses.
Among the billions of postal addresses, it can be difficult to determine the exact sender. So when you sign into your Gmail account, you know who you are and you can enter your name/company/function/position/telephone/address, etc., in addition to your basic contact information. You can add anything from this parts list. To do this, we need a signature on our Gmail account.
Tips for improving your Gmail signature
Follow these steps to improve your Gmail signature.
- Don’t add many lines as labels. Use only three or four lines (i.e. name, profession, phone number, etc.) That’s all.
- Add your social media profiles (e.g. a link to Instagram, etc.) to get more information about you.
- You can add a photo.
- Do not mention your postal address, because the letter itself will contain your e-mail address.
- Do not add inspiring, positive, sad or happy quotes.
- You can try it from my iPhone.

Total time: 5 minutes
Step two: Press the Settings button
When you log in to Gmail, your email messages will appear in your account. On this screen you will see different sections such as Inbox (Home, Social, Updates, Promotions, etc.), Compilation, Meeting Options, Contacts in your Google Account, etc.
In the upper right corner of the screen you will see the settings option (wheel icon). Click Settings as shown in the figure above.
And then the screen above appears. Click Show all settings.
Step three: Go to the signatures
When you click the Show all settings button, you will see a screen as shown above. Scroll to the Signature section. In this signature box you can see the signature for Gmail if you have already added it, otherwise you will see the text No Signature.
If you don’t have a signature yet, click Create new and add a signature of your choice. If you already have a signature and want to change it, click on the pencil icon to change the name of the signature.
After changing the name, click the Done option.
Step four: Change the signature data
After the name change, a screen for entering data for the signature is displayed next to the name of the signature. Enter the signature details that others can recognize you by.
You can change the signature data at your own discretion with other functions, such as B. Bold, Underline, Uppercase or Lowercase, etc.
Step five: Define signature defaults
Once you have changed or added a signature in Gmail, you must set two default values for that signature. Go to the Standard Signature section. From the drop-down menu, select a signature (that you have added) to use for new emails and replays/submissions.
Step six: Save the changes
When all settings are selected, the details are entered by scrolling down the screen. At the bottom you will see the option Save changes. Click the Save changes button to save the changes you have made.
